System & Administration

Company & Organisation

  • Company Master: Company name, registration number, address, tax registration, base currency (NAD).
  • Branches / Sites: Multiple branches; separate or shared ledgers and inventory.
  • Fiscal Calendar: Define financial year and periods (monthly, quarterly, etc.).
  • Currency: Base and additional currencies; exchange rates (manual or feed).

Users & Security

  • User Master: Create users: login name, name, email, password policy, status (active/locked).
  • Roles / Permissions: Define roles (e.g. Accountant, Warehouse, HR); assign menu and function permissions.
  • User-Role Assignment: Assign one or more roles to each user.
  • Data Access: Restrict access by company, branch, or department where applicable.
  • Audit Log: Log user actions (who did what, when) for sensitive transactions.

Preferences & Defaults

  • System Parameters: Default numbering, date format, decimal places, next document numbers.
  • Module Settings: Defaults per module (e.g. default warehouse, payment terms).
  • Workflow: Approval rules and workflows (e.g. PO approval by value).

Maintenance & Tools

  • Database Backup: Schedule or run backups (if on-premise).
  • Data Import / Export: Bulk import of masters (e.g. chart of accounts, items); export for migration.
  • Period Close Lock: Lock closed periods to prevent posting.
  • System Health: Version, licence, and connectivity checks.
